    Hello All! 

    I am finally back from furlough and am preparing a plan to restart the volunteer program.  I plan to put together a consent form.  Thank you to all who have shared their forms/plans so far!  I have seen a couple people mention a liability form that they have volunteers sign during on-boarding.  Would anyone be willing to share their liability release?  Thank you!

    Thought I'd share my experience in returning volunteers - or inviting them to return.  Below is an email I sent to some NW District colleagues.  

            My Admin and HICS team cleared the way for several department vols to return (I attached my documents I sent).   However, I am finding that about 60% of those included will not be returning at least until July and most not until the fall.   The back office and other ‘behind the scenes’ volunteers are the most willing to return and many did this week.  I have a few that are coming back to the Infusion Center and Digestive Health (plus one new college student). 

       About 50%  of my Information Desk (escort, interoffice mail, flowers) will wait until the fall.   I think with our area, in particular,  (Cedar Point, Kalahari, movie theaters,  and all the tourists to the islands, etc.), they are pretty spooked.    I am not able to have any teens under 18 years – probably for the summer, but that wasn’t clarified.    Only a handful of Gift Shop vols started this week and many did say they would wait until July, but if we get any spike in Erie County, I am sure we won’t see them for a very long time.    Reasons the vols are giving:   1)  Family members are discouraging them   2)   Uncertainty in general   3)  Masking in public areas.  4)   Have underlying health issues

       I even had a few that started or said they would return, then backpedaled with second thoughts.   

        We still are slow on the inpatient side, so some departments where vols do help such as inpatient Pharmacy and Medical Records are still too slow to bring back volunteers (and those are the ones that would be the first to walk through the door).   

        I don’t see bringing back ER volunteers for a VERY long time – maybe if ever, so the idea of trying to reassign them is even daunting.   They loved that area and I would imagine I will lose a lot of them along with a good amount of others such as patient-facing volunteers (Rounding, spiritual care, etc).   Trying not to sound like a Debby Downer, but with our aged population, this could decimate our programs.    I am even concerned that their being invited to return this soon is being perceived as selfish or even ignorant on our part, but in my conversations with the vols, most were going crazy and were begging to return so we lifted the restriction and now I feel like it’s backfiring.  

       Time will tell, and maybe those of you not in touristy areas, may have better luck.   So, if you ask me, unless it’s a safe back office, you may want to wait a little while longer even if you get approval from your Admin.          Good luck.

    Thanks for sharing your documents Heather and Alice. Very helpful and timely as I have a phone meeting with my boss tomorrow to discuss my returning to work and opening our Gift shop.

    He said there has been no decision yet on returning volunteers at this time.

    Firelands Regional Medical Center is beginning the re-entry of our volunteers - first to return will be back-offices, 'behind the scenes,' and Gift Shop volunteers in our "Phase 1"  so we are on the same page with Alice's proposal.   This is exciting as I didn't really anticipate their return so soon especially based on what I have been seeing  and hearing on websites and with our own OHVMA colleagues.   Keep up the positive work!

    There are many details to consider when putting together a "RESPONSIBLE" plan of returning volunteers in this environment we are all in now.  Through networking with our own amazing membership in OHVMA as well as colleagues across the nation a gathering of great wisdom from other Volunteer Management Professionals has greatly assisted in the preparation of a proposal that has gone to my leadership in the region for consideration.  (See attachment) - Understand there are a variety of Risk, Legal, and Ethical questions/concerns yet to be addressed.  Bottom line, this work and/or decision should not just fall on the shoulders of volunteer management.  For the best possible outcome, in my opinion Volunteer Management needs to be at the table and work together with other stake holders within our organizations such as, Administration, Risk, Legal, Ethics, HR, Employee Health, Infection Control, etc...  

    At the same time other necessary work has been reviewing of service descriptions and assigning High, Medium, Low Risk values to each.  Also, exploring and learning more about virtual opportunities.

    Please continue to share here, let's learn, support and encourage each other.

    Attached is an acknowledgement I have all returning gift shop volunteers sign.  It's not legally binding, but more for my peace of mind than anything...and informing them about our current environment.

    Hi Heather - Any chance you can share your proposal and policies for reopening the GS and using volunteers?   This is a hopeful sign as it sounds like many hospitals are reluctant to bring vols back anytime too soon.  I have been having volunteers call me to offer to return, and I will be discussing options with my supervisor on Thursday.   Thank you.
